How to Order SOJC Swag
Need some SOJC-branded swag as a giveaway, welcome gift, or way to promote your programs or events? We can help! The Comms Team will provide you with brand-compliant logos and other artwork and can order items for you from officially licensed swag vendors. Just follow the five steps below.
1. Check in with the Comms Team.
We may already have what you’re looking for in our coffers, so reach out to Andra Brichacek Roe to see what we have. We also place a schoolwide order every spring, so if you want to maximize your leftover budget before the end of the fiscal year, email Andra to get on our list. Because all vendors provide discounts for larger orders, joining our group order is the best way to get the best price for popular items you need in bulk, like pens, notebooks, coffee cups, and water bottles.
NOTE: Per UO policy, swag items are generally not intended for resale. Exceptions may be requested, and if approved, items will be subject to royalties. If you are hoping to order swag with the intent to sell it, please reach out to Andra Brichacek Roe for guidance as early as possible.
2. Select a vendor and items.
If you need to order swag before spring term, you can place your own order, but you still have to go through the Comms Team for artwork. The first thing we will need is a link to your item or items on the website of an officially licensed vendor. The Comms Team typically uses 3Point Brand Management, but if that company doesn’t have what you’re looking for, you can find another vendor on the UO Approved Vendor List.
Important! UO policy requires that all products bearing UO logos and trademarks (including trademarked names and phrases) must be produced by officially licensed vendors.
3. Send us the item link(s) and the colors/patterns/options you want.
Keep in mind that most vendors require a minimum quantity, and many items have a variety of colors or other options you can choose from. Please send Andra Brichacek Roe the following:
- Link(s) to your item(s)
- Colors, patterns, or other options
- If you are joining our annual bulk order, we will also need:
- Quantity for each item
- Index or Pcard to pay for the item(s)
NOTE: There will be an additional shipping fee for all items. The best way to determine the shipping fee is to contact the vendor or start filling out the order form. If your order is over $5,000, you will need to fill out a purchase order.
4. Get brand-compliant SOJC logos/artwork from the Comms Team.
We will work with the vendor to determine the brand-compliant artwork and imprint size needed for your item(s). Make sure to let us know if you want an SOJC logo or something else. We will send you the approved artwork in the correct size, and you can give it to the vendor when you complete your order.
NOTE: All items ordered through UO-licensed vendors will be reviewed for brand compliance by UO Trademark Licensing and Brand Management. For this reason, we strongly encourage you to coordinate with the Comms Team for your imprint artwork, rather than submitting your own. This will save time for everyone and help ensure you receive your order in a timely fashion. UO Trademark Licensing and Brand Management recommends that you plan for and allow a minimum of 10 business days from initial artwork submittal to official design approval. This process will proceed as quickly as possible when you get your imprint directly from the Comms Team.
5. Place your order!
If you’re part of our annual spring bulk order, we will place the order for you. Otherwise, you should have all the info and artwork you need at this point to place your own order. In most cases, items are delivered to Allen Hall within a few weeks.
